Your event data is important... EXTREMELY important!  So, it's savvy of you to be thinking about the security of your data and ways to ensure your data is well backed up to avoid any potential data loss, or inability to access your event data when you need it most.

What we do to backup your data

We're pleased to confirm that we absolutely have automated backup procedures in place.  In fact, we have daily data backups, as well as backups of those backups!

We're also proud to share that since our very first client went live in 2016, we haven't had a single occurrence of data loss.  Our servers and software have proven themselves to be extremely resilient and reliable 😊

This said, it is wise of you to also set up your own backups that don't rely on us to be absolutely sure that YOU have the access you need, and when you need it.  So, as further peace of mind we offer a couple of methods for you to be in control of your own backups...


Two ways you can backup your data

There are two methods you can use to create your own backups of your event data.  We recommend you incorporate BOTH into your routines and processes.

  • Method 1 (easy / manual): Export a CSV of your Event Data
    We provide an export function (on Events screen and Gig Report), whereby you can download all of your event details in a CSV file, to be utilized however you like.

  • Method 2 (moderate / automated): Using our Google Calendar Integration
    Secondly, our Google Calendar integration also provides another way to backup your event data.

    When this integration is activated as an 'outbound' integration, details of all your events are copied over to a linked calendar in real time, providing a continuous backup you have full access to.

    The integration creates (and updates) standalone events directly in your Google Calendar.  So when you actually access your events in Google Calendar, this doesn't require a live connection to PPM at that point in time.  For clarity, this means that in the unlikely event that Party Pro Manager has an outage, events will remain as-is, within your integrated Google Calendar.


We also suggest that you encourage your team to subscribe to their individual staff calendar feeds with their gigs from within their Staff Portal.
