Adding a new staff / team member

  • Go to "TEAM" from the main menu
  • Click the orange "+ STAFF PROFILE" button at the top left of the page


  • Fill in all the necessary details for the staff's Profile.  You'll see there are several organized tabs of details you can complete in this step
    • General
      • First name (required)
      • Last name
      • Performer name - add a performer nickname
      • Staff status - "Active" / "Inactive"
      • Future gigs (auto-populated) - provides a count of how many future gigs this staff is currently scheduled into
      • Color - assign a color for this staff member, which will be used in various visual representations throughout the system
      • Initials - initials used to reference this staff member in certain areas of the system, like the calendar view of events
      • Email
      • Phone - note: be sure to use a mobile phone number if you have the SMS Power-Up enabled
      • Facebook profile URL
      • DOB - date of birth (this will also help us flag the staff's birthday in your PPM calendar for you so you can help them celebrate their special day ðŸ¥³)
      • Hire date
      • Address
      • General notes
    • Staff Portal
      • Use this tab to give/revoke access to the Staff Portal.  More detailed instructions found here.
    • Default Availability
      • Use this tab to set your staff's default schedule of availability.  More detailed instructions on this can be found here.
    • Override Availability
      • Use this tab to override your staff's default schedule of availability on any given date.  More detailed instructions on this can be found here. (skip to "Step 3")  
    • HR Record
      • Use this tab to manage important information about your Staff/Team.  More detailed instructions on this can be found here.
    • Measurements
      • Use this tab to record detailed measurements and sizes for your staff (great for those that need to fit their staff into specific uniforms and/or costumes)


Modifying a staff / team member

  • Go to "TEAM" from the main menu
  • Find the staff member you want to edit in the Team List
  • Either click the edit (pencil) icon for that staff or double click on the row to open the Staff Profile Editor
